Privacy Policy
What we collect, why we collect it, and how fleet and driver data is protected.
Scope
This policy explains how Vinsag handles personal data collected through this website and through the Vinsag fleet cost platform. It covers people who visit the site, submit a form, hold a user account, or whose data appears in fleet records processed on behalf of a customer, such as drivers.
Information we collect
Website forms: name, work email, company name, role, fleet size, telematics provider and any message you choose to include.
User accounts: name, work email, role, depot assignment, login activity and settings.
Fleet data provided by customers:
- Vehicle data such as registration, class, depot and workshop records
- Trip data such as GPS position, speed, ignition state and odometer
- Fuel data such as sensor readings and fuel card transactions
- Driver assignment, identified by a name or an internal ID chosen by the customer
Technical data: browser type, device information and a session cookie used for form security.
How we use information
- To respond to fuel audit, sales and support requests
- To create user accounts and send login credentials
- To calculate fuel consumption, cost per trip, cause attribution and reports for the customer who owns the fleet data
- To keep the platform secure, prevent abuse and fix problems
- To meet legal and accounting obligations
Fleet data is used only to provide the service to the customer it belongs to. It is not used to build a marketplace, match fleets with shippers, or train models for other customers.
Driver data
Driver-level insights are designed for coaching. Customers decide whether drivers are identified by name or by an internal ID, and who in their organisation can see individual driver views. Customers are responsible for informing their drivers about the use of trip data in line with applicable law.
Security
Data is encrypted in transit using TLS and encrypted at rest. Access is restricted by role, and administrative actions such as exports and permission changes are logged.
Retention
Form submissions are kept for as long as needed to respond and follow up. Fleet data is kept for the duration of the customer's subscription and deleted after the export window when the account closes, except where the law requires longer retention.
Your rights
You can ask to access, correct or delete your personal data, or withdraw consent where processing is based on consent. If your data is part of a customer's fleet records, we will pass your request to that customer. Requests can be made through the contact page.
Changes to this policy
If we make material changes, we will update this page and notify account holders by email.
